1. Scope
This Privacy Policy describes how Sameday AI Inc., a Delaware corporation (“Sameday,” “we,” “us,” or “our”), handles information in connection with the Sameday Softphone browser extension for Google Chrome (the “Extension”). The Extension is a companion to the Sameday platform (the “Platform”) and is intended for use by employees and authorized personnel of businesses that subscribe to Sameday under the Sameday Customer Terms and Conditions (“Customers”). If you use the Extension, you do so on behalf of a Customer, and the Customer’s agreement with Sameday governs how the Customer’s business data is processed.
This Privacy Policy supplements the Sameday Privacy Policy available at https://sameday.ai/privacy-policy (the “Main Privacy Policy”), which applies to the Platform, our websites, and our business generally. This document controls for data handling that is specific to the Extension; the Main Privacy Policy controls for all Platform data and for our general privacy practices. Capitalized terms not defined here have the meanings given in the Main Privacy Policy or the Sameday Customer Terms and Conditions.
The Extension and the Platform’s communications features are offered only within the United States.
2. What the Extension Does
The Extension lets a signed-in Sameday user make and receive business phone calls, send and read business text messages, and use the Sameday AI assistant from a Chrome side panel. It also adds click-to-dial buttons next to phone numbers on supported CRM websites so that a user can place a call or send a text with one click.
3. Information the Extension Handles
The Extension handles the following categories of information. Each category is described by where it comes from, where it goes, and where it is stored.
3.1 Your Sameday session. The Extension has no sign-in of its own. When you sign in to the Sameday web app at app.sameday.ai, the Extension receives your existing session credential and uses it to authenticate requests to Sameday’s servers. The session is held in Chrome’s memory-only extension storage and is erased when you close Chrome or sign out of the web app. It is never transmitted anywhere other than Sameday’s own services.
3.2 Microphone audio. With your explicit permission, the Extension captures microphone audio for live phone calls. Call audio is transmitted in real time to our telecommunications carrier to connect your call, the same way any phone call is carried. The Extension itself does not record calls. Call recording, where it occurs, is a server-side Platform function controlled by your employer’s configured recording policy, which includes playing recording notices to callers where your employer has enabled them. You can revoke microphone access at any time in Chrome’s site settings.
3.3 Business communications data. To show you your call and message activity, the Extension retrieves data from Sameday’s servers under your session, including caller names and numbers, call history, and business SMS conversations. Messages you send are transmitted through Sameday’s servers to our telecommunications carrier for delivery. A local “recents” list of your calls is kept in the Extension’s browser storage for redialing convenience. The underlying business records (calls, recordings where applicable, and messages) live in the Platform and are retained under your employer’s Sameday account as described in the Main Privacy Policy and your employer’s agreement with Sameday. The Extension is a window onto those records, not a separate store.
3.4 Web page content (click-to-dial). On supported CRM websites (currently ServiceTitan, Housecall Pro, FieldRoutes, PestRoutes, Service Fusion, and HubSpot), and on other websites only if you explicitly opt in through the Extension’s menu, the Extension scans the visible text of the page locally, inside your browser, to detect phone numbers and add a Call or Text button next to them. No page content is transmitted off your device. The only information that leaves your browser is the specific phone number you choose to call or text, which is sent to Sameday’s servers to place that call or message. The opt-in for other websites can be turned off in the same menu at any time, which removes the associated permission.
3.5 AI assistant queries. Text you type into the Ask AI tab is sent to Sameday’s servers to generate a response, under the same terms as the AI assistant in the Sameday web app. Conversation history for the assistant is kept in memory-only extension storage and cleared when Chrome closes.
3.6 Notifications. The Extension displays Chrome notifications for incoming calls, showing the caller’s name or number with Answer and Decline buttons. This information is displayed locally and is not transmitted anywhere by the notification feature.
3.7 Technical and diagnostic information. Requests the Extension makes to Sameday’s servers include standard technical information such as your IP address, browser type, and Extension version, and Sameday’s servers keep standard request logs for security, troubleshooting, and abuse prevention. The Extension does not contain any third-party analytics, advertising, or tracking code.
4. How We Use Information
We use the information described above solely to provide, secure, support, and improve the Extension and the Platform for your employer, including to:
- Authenticate you and connect the Extension to your employer’s Sameday account.
- Place, receive, and display phone calls and text messages, and enable click-to-dial.
- Generate responses in the Ask AI tab.
- Detect, investigate, and prevent fraud, abuse, security incidents, and violations of the Sameday Customer Terms and Conditions.
- Comply with legal obligations, including telecommunications regulatory requirements.
Call detail information (such as the numbers you call and the times and durations of calls) is customer proprietary network information under federal law. We use it only to provide and support the communications services your employer has purchased, to protect our network and customers, and as otherwise permitted or required by law.
We do not use call audio to train AI models. Where the Sameday Customer Terms and Conditions permit, Sameday may use de-identified transcripts and action records from Platform interactions to improve the Platform’s AI features; that use is governed by your employer’s agreement with Sameday and the Main Privacy Policy, not by any Extension-specific processing.
5. Who Receives Information
Information leaves your browser only to the following recipients:
- Sameday’s own services, to provide the Extension and the Platform.
- Our telecommunications carriers, which carry call audio and text messages the same way a telephone company does.
- Our cloud hosting and infrastructure providers, which host Sameday’s services.
- Our AI model providers, which process the text of Ask AI queries on our behalf to generate responses and are contractually prohibited from using that data for their own purposes, including training their models.
All of these recipients act as our service providers or processors and are bound by written contracts that restrict their use of information to providing services to Sameday, as described in the Main Privacy Policy. We may also disclose information when required by law, subpoena, or court order, to respond to lawful requests from public authorities, or to protect the rights, property, or safety of Sameday, our Customers, or others. We do not sell personal information, and we do not share personal information for cross-context behavioral advertising.
6. What the Extension Does Not Do
- No advertising. The Extension does not display ads, and we do not sell or share personal information for advertising purposes.
- No third-party analytics or tracking code runs in the Extension.
- No collection of browsing history. Page scanning for click-to-dial happens locally, is limited to detecting phone numbers, and is not logged or transmitted.
- No access to data from websites other than the supported CRM sites, Sameday’s own sites, and sites you explicitly opt in to.
- No recording of calls by the Extension itself.
- No use of information for purposes unrelated to the Extension’s single, user-facing purpose of business calling, texting, and AI assistance.
7. Security
All communications between the Extension and Sameday’s servers are encrypted in transit using industry-standard TLS. Call audio between the Extension and our telecommunications carrier is transmitted over encrypted connections. Session credentials are stored only in memory-only extension storage and are never written to disk by the Extension. We maintain administrative, technical, and physical safeguards for Platform data as described in the Main Privacy Policy. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Data Retention
Extension-local data is retained as follows:
- Session credential and Ask AI conversation history: memory-only storage, cleared when Chrome closes or you sign out.
- Local recents list: persists in extension storage on your device until you remove the Extension or clear its storage.
Platform records that the Extension displays (call history, recordings where applicable, and messages) are retained by Sameday under your employer’s account for as long as your employer’s agreement with Sameday requires, and as needed to comply with law, resolve disputes, and enforce our agreements, as described in the Main Privacy Policy and the Sameday Customer Terms and Conditions. Your employer controls the retention and deletion of its business records within the Platform.
9. Your Choices
- Signing out of app.sameday.ai, or removing the Extension, severs the Extension’s access to your account.
- Microphone access is granted and revocable through Chrome’s site settings.
- Click-to-dial on websites other than the supported CRM sites is off by default, opt-in, and reversible at any time from the Extension’s menu.
- Chrome notifications for incoming calls can be disabled in Chrome’s notification settings.
10. Your Employer’s Role
The Extension is a workplace tool. Your employer (the Sameday Customer) determines what business communications are handled through Sameday, who may use the Extension, whether calls are recorded, and how long records are kept. With respect to the business communications data described in Section 3.3, Sameday acts as a service provider and processor on behalf of your employer, and your employer is the business and controller. Your employer is responsible for providing any notices to you, and obtaining any consents from you, that are required by applicable law for the monitoring or recording of workplace communications.
Your employer is also responsible for complying with call-recording, consent, and telemarketing laws that apply to its use of the Platform, including obtaining any consent required from the parties it calls or texts, as set out in the Sameday Customer Terms and Conditions.
11. Your Privacy Rights
Depending on where you live, you may have rights under applicable privacy law to access, correct, or delete personal information, or to receive information about how it is used. Because Sameday processes Extension communications data on behalf of your employer, requests concerning that data should be directed to your employer, and we will assist your employer in responding as required by our agreement and applicable law. For personal information that Sameday handles as a business in its own right, you may exercise your rights as described in the Main Privacy Policy or by contacting us using the details in Section 15. We do not sell or share personal information, and we do not discriminate against anyone for exercising privacy rights.
12. Chrome Web Store Disclosure
Sameday’s use and transfer to any other app of information received from Google APIs will adhere to the Chrome Web Store User Data Policy, including the Limited Use requirements. The Extension requests only the permissions needed to perform its single purpose, and we do not use information obtained through the Extension for any purpose other than providing and improving the Extension’s user-facing functionality, complying with law, and protecting against fraud, abuse, and security threats.
13. Children
The Extension is a business tool intended for use by adults acting on behalf of a Sameday Customer. It is not directed to children, and we do not knowingly collect personal information from anyone under 18 through the Extension.
14. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated policy at this URL and revise the “Last Updated” date above. If we make material changes to how the Extension handles information, we will provide notice through the Sameday Platform or the Extension before the changes take effect.
